Terms of Service

1. Who we are

OKAT Creative Media Hub, trading as OKAT Media, is an independent creative studio based in Kumasi, Ghana, registered with the Registrar General's Department under number BN851390923. These terms govern every project we take on and every payment made to us, unless we have signed a separate written agreement with you that says otherwise.

By accepting a quote, paying a deposit or asking us to begin work, you agree to these terms.

2. What we provide

We provide creative services across six disciplines: video and motion, brand and identity, websites and web apps, events and campaigns, social media content, and print and out-of-home.

The exact deliverables for your project are set out in the quote we send you. Anything not listed in that quote is not included, and will be quoted separately if you want it.

3. Quotes and scope

  • Every quote states the scope, the price, the currency and the timeline.
  • A quote is valid for 30 days from the date we present it. After that we may re-quote, because our costs and availability change.
  • The price is fixed for the scope described. If you ask for something outside that scope, we will tell you what it costs and get your agreement before doing the work.
  • Third-party costs (stock footage, music licensing, fonts, printing, venue hire, paid media) are either itemised in the quote or billed at cost with your prior approval.

4. Booking, deposits and payment

Project work is 50% deposit to begin, balance on delivery. Retainers and ongoing partnerships are billed monthly in advance.

  • The deposit confirms your place in our schedule. We do not begin work, book crew or reserve dates until it clears.
  • The balance falls due when the final deliverables are ready to hand over, on the date stated on the invoice.
  • Where a project is invoiced with a balance on delivery, review copies are available to you immediately and full-resolution final files are released when the balance is settled.
  • Invoices unpaid 14 days past their due date may pause an active project until they are settled.

Payment methods and card security

We accept mobile money, bank transfer and card payments. Card and mobile money transactions are processed by Paystack, a licensed payment service provider.

Your card details are entered on Paystack's secure checkout. OKAT Media never sees, handles or stores your full card number, CVV or PIN. We receive only a confirmation that a payment succeeded, the amount, and a masked reference.

5. Timelines and what we need from you

The timeline in your quote assumes we have what we need to work. It starts when the deposit clears and the material listed in the quote has been supplied.

You agree to provide, in reasonable time: brand assets, copy, product or venue access, named approvers, and consolidated feedback at each review point.

Delays in feedback, approvals or material move the delivery date by the same amount. Where a delay pushes a project outside the booked window, we will re-schedule to the next available slot rather than compress the work.

6. Revisions

Two revision rounds per asset are included in every project. A round is one consolidated set of feedback from you, actioned by us.

Further rounds, or changes that reverse a direction you have already approved, are quoted separately. We will always tell you that a request goes beyond the included rounds, and what it will cost, before we act on it.

7. Ownership, licensing and publicity

All final creative belongs to the client once the invoice for it has been settled in full. Until then, we retain ownership of the work and any review copies are licensed to you for review only.

  • Third-party assets we license on your behalf (stock, music, fonts) remain subject to the licence terms of their owner. We tell you what those terms are.
  • Editable project files (compositions, layered files, raw footage) are working files, not deliverables. They are included only if the quote says so.
  • We may show completed work in our portfolio and on social media once it is public. Tell us if a project is confidential and we will keep it out, at no cost to you.

8. Confidentiality

We treat unreleased campaigns, commercial information and anything you mark confidential as confidential, and will not share it outside our team and the contractors working on your project. The same obligation applies to us in reverse.

9. Cancellation and refunds

Either side may cancel a project in writing. What happens to money already paid is set out in full in our refunds and cancellations policy, which forms part of these terms.

10. Liability

We take our work seriously and we stand behind it. Where something is genuinely our fault, we will fix it. That is the first remedy, and usually the only one anybody wants.

Beyond that, our total liability for any project is limited to the amount you have paid us for that project. We are not liable for indirect or consequential losses such as lost profit, lost revenue or lost opportunity.

You are responsible for the accuracy and legality of material you give us, including claims made in copy, consents for people who appear on camera, and your right to use any logo, image or track you supply.

11. Things outside anyone's control

Neither side is in breach of these terms for a delay caused by something genuinely beyond its control: power or network failure, illness, civil disruption, extreme weather, or a supplier failing. We will tell you promptly and agree a revised date.

12. Governing law

These terms are governed by the laws of the Republic of Ghana, and the courts of Ghana have jurisdiction over any dispute arising from them.

13. Changes to these terms

We may update these terms. The version in force for your project is the one published on the date your quote was issued, and the current version always shows its date at the top of this page.
